Protecting the
Confidentiality of Clients’ Information
As a financial institution, we are
required to provide our clients with a
document illustrating the types of
information we collect and the
circumstances under which we may share
it. We will provide a copy of this
policy to clients upon the opening of an
account.
We recognize that our
relationships are based upon integrity
and trust. We are very careful to
preserve the private nature of our
relationships. However, the very nature
of our business sometimes requires that
we collect or share certain information.
The following is the policy and
procedures to protect our clients’
privacy while providing the service
agreed upon:
The type of
information we collect: Prior to
opening a new account, we ask about
finances and personal information that
will assist us in determining the
investment and financial goals and
objectives of our prospective clients.
We also ask for identifying information
such as addresses, telephone numbers and
social security numbers of the parties
involved.
In most cases, this
information is provided in person. Mail,
fax or web site may also be utilized
once the identity of the individual
communicating is properly ascertained.
How we use this
information:
The information we collect is used to
help us deliver the services requested.
Access to this
information:
Coral Gables Trust employees are
permitted access to the information on a
need to know basis in order to perform
their jobs on your behalf. We maintain
strict internal policies against
unauthorized disclosure or use of client
information by employees. We have an
arrangement with Reliance Trust Company
of Georgia to provide operational and
other services. These include
accounting, custody, securities
transactions, statement generation and
dissemination, tax reporting, etc. We
work with, accountants, attorneys,
investment managers and other service
providers only when necessary to meet
the needs of individual account
situations. These providers perform
their services at our clients’ direction
or prior approval. We only share
information that is necessary to perform
specific functions. We require anyone
with whom we share information to
protect it. We also require them to use
it solely for the purpose for which it
is shared.
Courts and
government bodies:
Certain federal and state laws may
require us to share information. For
example, if a client is involved in a
legal matter, we may be ordered to
provide information. In that situation,
only the specific information required
by law, subpoena, or court order will be
shared.
Information you
authorize or direct us to share:
From time to time, we may find services
from other financial firms that we
believe are useful to our clients. In
those cases, Coral Gables Trust will get
our client’s permission prior to
contacting the firm or sharing any
information.
Coral Gables Trust may
get your written, online, or verbal
permission to share the information. If
you grant permission, we will only
provide the specific information
consented to.
